Booking and managing riding lessons in StalliQ

How to book a riding lesson in StalliQ: Open the Stable tab, select the pill toggle "Riding lessons", tap a lesson with open spots and choose "Book". If the lesson can be booked with your own horse OR a school horse, you first pick your horse. Then you choose the payment method (Cash or one of your lesson cards). You get a push confirmation. If the lesson is full, you're automatically placed on the waitlist and move up as soon as someone cancels. For recurring lessons, you can book a whole series at once with "Book all dates". This means StalliQ replaces the WhatsApp chaos of organizing riding lessons with a complete booking system featuring an automatic waitlist, level checks, series booking, a flexible payment model (Cash or card), horse-type permissions (school horse / own horse), double-booking and horse-conflict protection, plus push notifications.

Requirements

You need to have joined a stable that offers riding lessons. For this you need your stable's invitation code (see Joining a stable). Your riding instructor or stable operator must have assigned you a level - without it you'll see the note "No level assigned" and can't book lessons.

How do I find the schedule in StalliQ?

You'll find the schedule in the Stable tab in the bottom navigation. There you select the pill toggle "Riding lessons" (to the right of "Occupancy"). The view shows the current week with weekday pills (Mon–Sun) including the date number. You can navigate back and forth between weeks. There's also a week view that shows all lessons of the whole week as an overview.

Each riding lesson is shown as a card with time and duration, discipline and venue (e.g. "Dressage · Arena"), the name of the riding instructor, the number of open spots (e.g. "3/6 spots"), the stored prices (with/without school horse) or accepted lesson cards, and your current booking status.

What do "with school horse" and "with own horse" mean?

A riding lesson can be enabled for different horse types. In a lesson's details you'll see a note per horse type:

Which horse types are allowed and whether cash or card works is decided by the riding instructor when creating the lesson. There are also two separate cash prices possible per lesson: price with school horse and price with own horse. The riding instructor can also set both prices the same or leave one of them empty.

How do I book a riding lesson?

Tap a riding lesson with open spots and then tap "Book".

Step 1 - Pick a horse (if relevant): If the lesson allows both school horse and own horse, StalliQ first asks for your horse. If only one horse type is allowed, this step is skipped automatically. Horses that don't match the lesson's horse type are hidden in the picker.

Step 2 - Choose payment method: The action sheet "How to pay?" appears with all matching options:

If there's only one option, the picker is skipped and the booking is made directly. If there's no matching card and no cash price, you can't book (error: "Lesson requires a price or card").

Step 3 - Confirmation: After booking you get a push notification. The confirm dialog shows the correct price or the charged card.

Level check: You see all lessons in the schedule, but you can only book lessons where your assigned level is at least as high as the lesson's. Lessons above your level show a lock icon and the note "Level too low". Managers can override this check for individual bookings.

Booking limit: The stable operator can configure a weekly booking limit (e.g. a maximum of 3 lessons per week). Once you've reached the limit, you can't book any more lessons until the current week is over.

Booking for family members: If you've created managed people (e.g. children without their own account), a selection field "Booking for whom?" appears before the booking confirmation - you can then choose between yourself and your family members. Each person has their own booking limit, their own lesson cards, and their own cash account. More on this under Managed people.

What happens with cash bookings?

With a cash booking, no lesson card quota is deducted. Instead, the lesson is created as an open cash claim. The riding instructor sees the open claims in the admin list "Claims" as well as inline in the lesson's attendance check, and marks them as "Paid" after payment. Until then, the entry stays open in your booking history.

If a lesson is cancelled or you haven't paid for it yet, the riding instructor can cancel the cash entry (see "What happens with cancellations?").

Can I change the payment method afterwards?

Yes, as long as attendance hasn't been recorded yet. Open your booking in the schedule and select "Change payment method" in the action sheet. The same picker as when booking appears and you can switch between cash and matching cards. As soon as the riding instructor has recorded attendance or cash payment, the method is locked in.

How do I book a whole series at once?

For recurring riding lessons (e.g. "Every Thursday, Dressage Beginners"), the button "Book all dates" appears with the number of available dates in parentheses. Here too you first pick a horse and payment method - the choice applies to all dates of the series.

StalliQ checks every single date of the series for level, capacity, time overlap with other bookings, horse conflict, and whether you've already booked. Dates that can't be booked are skipped. When it's done, a toast tells you exactly what happened:

Recurring lessons can run a maximum of 56 weeks ahead at the stable's discretion. This keeps the schedule manageable and lets you set up series without a year-end waiting period.

To cancel a whole series, open one of the booked dates and select "Cancel all future dates". Dates that have already passed remain.

How does the waitlist work in StalliQ?

When a lesson is full, you're automatically placed on the waitlist. Your waitlist position is shown as an orange badge (e.g. "Waitlist #2"). The cancel button is orange instead of red for waitlist entries.

Moving up works completely automatically: if someone ahead of you cancels, you move up immediately and get booked. You receive a push notification "You're now booked". You don't have to do anything else - no rebooking, no confirming.

How do I cancel a riding lesson?

Tap your booked lesson and select "Cancel". A confirmation dialog "Really cancel booking?" appears first. Depending on your stable's configuration, there's a cancellation deadline.

Multiple bookings? If you've booked the same lesson for both yourself and a managed person, StalliQ shows an action sheet "Cancel for whom?" with the options "For me" and "For [name]". This way you cancel exactly the right booking.

Cancellation within the deadline: The cancellation is carried out immediately. For card bookings your quota isn't charged (or an already-made deduction is returned). Cash bookings don't become a claim. The next person on the waitlist moves up automatically.

Late cancellation (after the deadline): You get a warning "Cancellation deadline exceeded" with two options: "Cancel anyway" or "Rebook" (if allowed by the stable). With a late cancellation your lesson card quota is deducted anyway, or the cash claim stays open.

With every late cancellation, a system message is additionally created in the chat and the riding instructor is informed via push.

How do I rebook a riding lesson?

If your stable allows rebooking and you want to cancel after the cancellation deadline, the button "Rebook" appears next to "Cancel anyway". A sheet opens with all available lessons in the next 7 days, filtered by your discipline, your level, and open spots.

Select an alternative lesson and confirm the rebooking. A rebooking doesn't count as a late cancellation - your quota isn't charged twice. After rebooking, you're prompted in the new lesson to choose the payment method again (cash or card), since price and accepted cards can differ between lessons.

How do lesson cards work for riding lessons?

When you book a riding lesson with a lesson card, one unit is automatically deducted for each attended riding lesson. The rules: a deduction happens for "Present", for "Absent without excuse", and for a late cancellation. No deduction happens for "Excused absence".

A lesson can have several matching cards (e.g. a "10-lesson group school horse" and a "5-lesson group own horse"). When booking, only cards that match the chosen horse type and have a remaining balance are shown. Cards not linked to the lesson are not accepted.

You'll see your current balance on the Stable overview tab under "My lesson cards". For pending bookings (lesson is in the future but the card is already chosen), StalliQ shows a note "X reserved → effectively Y" (values are filled in). More details under Lesson cards and quotas.

What protects me from double bookings?

When booking, StalliQ checks three conflict types and prevents them automatically:

With series bookings, dates with a conflict are skipped automatically and counted as "skipped" in the toast.

Frequently asked questions

I don't see any riding lessons in the schedule - why is that?

Check three things: First, have you joined the right stable? Second, has your riding instructor already created a schedule? With new stables, no lessons may have been created yet. Third, make sure you've selected the pill toggle "Riding lessons" (not "Occupancy") in the Stable tab.

Why can't I book a riding lesson in StalliQ even though spots are free?

There can be several reasons: Your level is too low for this lesson (recognizable by the lock icon and the note "Level too low"). You've reached the weekly booking limit. The booking deadline for this lesson has passed. You already have another booking at the same time. Your horse is scheduled elsewhere at the same time. Or the lesson has no matching card or cash option for your horse type. Reach out to your riding instructor if you're unsure - managers can override the level check for individual bookings.

Why doesn't my own horse appear in the horse selection?

It's possible that: the horse isn't assigned to your stable, the horse type ("own horse") isn't allowed for this lesson, or your horse is already assigned to another lesson at the same time. School horses only appear as a school horse option and not as "own horse".

How do I book riding lessons for my child in StalliQ?

First create your child as a managed person (More tab → Family → Managed people). The stable operator assigns your child a level. After that, when booking a riding lesson, the question "Booking for whom?" automatically appears - select your child's name. Each managed person has their own booking limit, their own lesson cards, and their own cash account.

My lesson card quota was deducted even though I was excused - what should I do?

Ask your riding instructor to change your status in the attendance list from "Absent" to "Excused". The quota deduction is then reversed automatically. Only excused absences are free of charge.

As a riding instructor in StalliQ, can I see who cancelled a lesson late?

Yes. In your stable's members area, StalliQ shows each member's late-cancellation rate as a badge: amber above 5% and red above 20% over the last 90 days. You're also notified via push and a system message in the chat when a student cancels late.

What happens with cancellations?

For card bookings: within the deadline the deduction is returned; with a late cancellation the deduction stays. For cash bookings: within the deadline the open cash claim is marked as "cancelled" (€0 entry in the financial overview); with a late cancellation the claim stays open. The riding instructor can cancel open claims at any time via the admin list "Claims", entering a reason in the process. More on this under Payment model and cash claims.
