Configuring facilities, disciplines and levels in StalliQ

Here's how to set up the basic configuration of your stable in StalliQ: Go to Management → Infrastructure. There you create facilities (indoor arena, outdoor arena, etc.), disciplines (dressage, jumping, etc.) and levels (beginner to advanced). These three areas are the prerequisite for the schedule and the booking system - without them, no riding lessons can be created.

Requirements

You need a paid stable plan (from Stable S, €45/month) and the corresponding permissions (manage facilities, manage disciplines, manage levels). As an owner or manager, you have these automatically.

In what order should you set things up?

The recommended order:

  1. Disciplines first - because facilities need discipline assignments
  2. Facilities next - with capacity and discipline assignment
  3. Levels last - then assign them to members

After that, you can create your first riding lessons in the schedule.

How do I create disciplines?

Go to Management → Infrastructure → Disciplines and tap "New discipline". Enter the name (e.g. "Dressage", "Jumping", "Lunging", "Vaulting", "Groundwork") and confirm.

Disciplines are simple labels - they need no further settings. You can rename or delete them at any time. When you delete a discipline that is assigned to facilities, the assignments are removed as well.

Typical disciplines for a riding stable: dressage, jumping, eventing, lunging, vaulting, groundwork, cross-country, theory.

How do I create facilities?

Go to Management → Infrastructure → Facilities & arenas and tap "New facility".

Name - e.g. "Large indoor arena", "Outdoor arena", "Lunging hall", "Round pen"

Capacity (units) - How many units can be used at the same time. One unit corresponds to the space that a riding lesson or booking takes up. Example: An indoor arena with a capacity of 6 can hold up to 6 bookings simultaneously if each booking costs 1 unit.

Assign disciplines - After saving the facility, you can assign disciplines. For each discipline, you set the space requirement: how many capacity units a booking in this discipline uses up.

Example: Indoor arena (capacity 6)

This way, StalliQ automatically controls how many bookings can take place in a facility at the same time.

How do I create levels?

Go to Management → Infrastructure → Levels and tap "New level". Enter the name (e.g. "Beginner", "Advanced" or the equestrian classes "E", "E/A", "A*", "L", "M", "S").

Order matters: The list is sorted from top (beginner) to bottom (advanced). Use the arrow buttons to adjust the order. This sorting determines the level check during bookings: higher levels may also take part in lessons of lower levels, but not the other way around.

For each level, StalliQ shows how many members are assigned to it.

How do I assign a level to a member?

Go to Management → Members, tap a member and set the level in the profile. Without an assigned level, a member cannot book any riding lessons - they will see the note "No level assigned".

For members with managed persons (e.g. children), you can also set their levels separately on the member detail page.

How does facility booking work for members?

If you want members to be able to book facilities on their own (e.g. the indoor arena for free riding), assign the "Book facilities" permission to the corresponding role (under Management → Roles & permissions).

Once activated, members will see the type "Facility booking" as an option in the occupancy tab. The booking flow:

  1. The member selects a facility (e.g. "Indoor arena")
  2. The member selects a discipline (e.g. "Dressage" - filtered by facility)
  3. The member selects a date and time
  4. StalliQ automatically checks the capacity - the space requirement of the selected discipline is subtracted from the available capacity. If the facility is full, the booking is blocked

Facility bookings appear in the occupancy schedule and are taken into account in the utilization calculation. This way you avoid conflicts between riding lessons and free riding.

Frequently asked questions

In what order should I set up facilities, disciplines and levels in StalliQ?

First disciplines (they are needed when configuring facilities), then facilities with capacity and discipline assignment, and finally levels. After that, assign levels to your members - only then can the schedule be created and bookings be made.

What does "space requirement" mean for a discipline in StalliQ?

The space requirement indicates how many capacity units of a facility a booking in this discipline takes up. An indoor arena with a capacity of 6 and jumping lessons (space requirement 3) can hold a maximum of 2 jumping groups at the same time. Dressage (space requirement 1) could run up to 6 groups in parallel in the same arena.

Can I change levels later in StalliQ?

Yes. You can rename levels, add new ones, change the order and delete existing ones. When you delete a level, all assigned members lose their level and must be reassigned. Existing bookings remain unchanged.

Why can't a member book a riding lesson in StalliQ even though facilities and disciplines are set up?

Most often, the level assignment is missing. Every member needs an assigned level before they can book. Go to Management → Members → select member and set the level. You'll find further reasons under Riding lesson cannot be booked.
