How to add a guest to a riding lesson: Open the lesson in the booking detail and tap "Add guest". Enter a name and decide whether a cash payment is due. The spot counts as taken straight away. This is meant for trial lesson enquiries, holiday riders and anyone without a StalliQ account - you no longer need a second account to block a spot.
Requirements
- Your role needs the "Add guests" permission. It can be switched on per role, so you can give it to your instructors without granting them any further admin rights. You'll find it under Admin → Roles in the respective role.
- The lesson must be in the future and still have free spots.
The feature is available in the app and in the web portal.
How do I add a guest?
- Open the lesson in the booking detail.
- In the participants area, tap "Add guest".
- Enter the name. A first name is enough - deliberately record no more than that (see below).
- Decide on the payment (see next section).
- Confirm. The guest appears in the participant list immediately and the spot is taken.
You can add several guests to the same lesson - for instance when two people come for a trial at once.
With or without payment?
When adding a guest you choose between two options:
- With cash price - StalliQ takes the lesson's cash price (the school-horse variant) and creates an open receivable. It appears in your collection list like any other cash receivable, and you tick it off as paid there.
- Without payment - for the free trial lesson. No receivable is created, and no collection actions appear in the participant list.
Lesson cards are not used for guests - a guest has no account and therefore no balance.
Who can see the guest's name?
Only people with the corresponding rights see the actual name - that is, anyone allowed to manage bookings, maintain the schedule, record attendance or add guests. All other members only see "Guest (taken)".
That is intentional: a guest has never agreed to the app's terms of use. So record as little as possible - a first name is usually enough to identify the lesson. StalliQ deliberately keeps no guest directory; every entry is typed anew and exists only for that one lesson.
How do I remove a guest?
In the participant list, each guest row offers the "Remove guest" action. After that:
- The spot becomes free. If someone is on the waitlist, the first person is promoted automatically and notified.
- An open cash receivable lapses when the guest is removed - you do not need to cancel it separately.
What deliberately works differently for guests
A guest is a placeholder booking, not an account. Some things are therefore missing on purpose:
- No attendance recording. Guests do not appear in the attendance check - the occupied spot is enough.
- No horse and no rebooking. Guest rows have no horse assignment and cannot be switched to a different payment method.
- No waitlist when adding. If the lesson is full you cannot add a guest; StalliQ will not put them on the waitlist.
- None of the member checks. Skill level, weekly limit, booking deadline and overlapping appointments are not checked - you make the call as the person responsible. Guest entries also don't block you when you have bookings of your own at the same time.
- No notification to the guest. They have no account. If the lesson is cancelled, you receive the message and pass it on.
How do guests affect the statistics?
- Utilization: guests count. An occupied spot is an occupied spot.
- Cancellation rate: removed guests do not count. The rate is meant to reflect your riders' cancellation behaviour, not your own scheduling.
- Your personal statistics: guest bookings do not land on your own account even though you entered them. Your own attendance figures stay untouched.
Frequently asked questions
Do I need a second account for a guest in StalliQ?
No, and that is exactly what the feature is for. Previously the only way to block a spot was to create an additional account. Today you add the guest directly to the lesson - by name, optionally with a cash price, without any account being created.
Can I add several guests to the same lesson?
Yes, as many as there are free spots. Two guests with the same name are no problem either. Once the lesson is fully booked it no longer works - a guest is not placed on the waitlist.
Can my students see who is entered as a guest?
