Scanning documents with AI in StalliQ

How to scan a document in StalliQ: Open the horse profile, go to the "Health" tab and tap the "Doc Scan" tile. Choose Camera, Gallery or PDF file as the source. StalliQ analyzes the document with AI and automatically extracts the date, diagnoses, treatments, medications, costs and follow-up appointment. You review the data and, with a single tap, create a health record entry, a cost entry and a follow-up appointment. Each scan uses one AI credit.

Requirements

The document AI is available from the PLUS plan (€4.99/month). AI credits are used per scan: PLUS includes 15 credits/month, PRO 50. With PLUS or PRO, additional credits can be purchased (10 for €1.99, 30 for €4.99); topping up is not available on the FREE plan. Details under Pricing and plans.

How does the scan work?

Step 1 - Choose source: Tap "Doc Scan" and choose:

Step 2 - AI analysis: StalliQ uploads the document and analyzes it. You see "Analyzing document..." while the AI works. The analysis takes a few seconds.

Step 3 - Review results: Under "Extracted Data" you see the extracted information. All fields are editable - you can correct AI errors before you save.

Step 4 - Create entries: At the end you choose which entries should be created automatically:

Tap "Create entries". Done.

Which documents are detected?

StalliQ detects eight document types:

In addition, there is a separate policy scan in the insurance area (horse profile → Health → Insurance → "Scan policy"). It detects the insurer, tariff, contract data, premium, deductible and GOT rate and pre-fills the insurance form. It also uses 1 AI credit per scan. More under Managing insurance policies.

Which data is extracted?

Depending on the document type, the AI extracts: document type, date, issuer (vet/farrier), horse name, diagnoses, treatments, medications (with dosage and batch number), individual cost items, total amount, recommended follow-up appointment and notes.

Important: Review the detected data before you save. The AI is very accurate, but not error-free - especially with handwritten documents or poor image quality.

Where do I find my previous scans?

Below the Doc Scan tile in the Health tab you find the "Previous scans" area with a chronological list of all scanned documents.

Frequently asked questions

How many documents can I scan per month in StalliQ?

That depends on your plan and your AI credits. PRO includes 50 AI credits per month, each scan uses 1 credit. With PLUS or PRO you can buy additional credits at any time (10 for €1.99 or 30 for €4.99). Details under Pricing.

What happens if the document is not detected?

You see the message "Could not analyze document". Possible causes: image too blurry, document too dark, file too large (max. 20 MB) or wrong format (only images and PDF allowed). Try again with better lighting or a sharper photo. If the file is too large or the format is wrong, no AI credit is used, because StalliQ catches this before the upload. For blurry or too-dark images that the AI cannot evaluate, however, the credit is used - there is no automatic refund. So check lighting and sharpness before you scan.

Are my documents stored in StalliQ?

The original document is stored encrypted in the document library and linked to the health record entry that was created. Access is limited to you and authorized people (shared users with health permission).

Can I use Doc Scan in StalliQ with the FREE plan too?

No. Doc Scan is a PLUS feature. The FREE plan includes neither monthly AI queries nor the option to buy credit packs. Doc Scan requires PLUS (15 AI queries/month) or PRO (50/month); with either plan you can top up additional credits when you need them.

Uploading and managing documents works on every plan - including FREE. In the horse profile under "Documents", tap the plus and choose "Upload": the document goes into the document library, where you can view, search and delete it. Only the AI analysis is paid - the part that automatically creates a health record entry, a cost entry and a follow-up appointment.
